Green Street Real Estate Ventures has an exciting opportunity for an organized, dependable candidate to join our growing team in our new headquarters in South St. Louis City. Looking to fill the position for an early January start date.

Job Description

The ideal Office Coordinator candidate is detail-oriented, professional, outgoing, and friendly, whose primary purpose is to be the positive first impression for visitors of Green Street. The goal is to ensure that office operations are efficient and add maximum value to the organization. The position is responsible for managing office communications and supplies, as well as facilitating key tasks and procedures.

ESSENTIAL FUNCTIONS

  • Answering phone calls, transferring callers as appropriate
  • Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
  • Setting up internal marketing/visitor welcome graphics in lobby and common spaces
  • Managing schedules for conference and community spaces
  • Monitoring and ordering inventory for office, bathroom and work cafĂ© supplies
  • Managing incoming and outgoing correspondence, including faxes, mail and packages
  • Filing and organizing records, invoices and other important documentation
  • Assist Marketing department in the assembly of proposals, presentation packets and other materials
  • Assist Marketing department in the execution of office events (i.e. BBQs, groundbreakings, ribbon cuttings, luncheons, etc.)
  • Submitting work orders and scheduling repairs for general office space and equipment
  • Ordering supplies and handling repair requests for office equipment, connecting with and escorting vendors/maintenance to proper locations
  • Provide additional administrative support to team, as needed

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent
  • 1 year minimum experience as a receptionist, administrative assistant or equivalent
  • Customer service experience is a plus
  • Excellent communication and interpersonal skills
  • Highly organized with the ability to prioritize and multi-task
  • Intermediate or higher level knowledge of Microsoft Office, including Teams, Word & Excel
  • Experience with Adobe InDesign preferred
  • Desire to succeed with short and long-term goals
  • Strong work ethic, a great attitude and ability to thrive in an objective-driven environment
  • Capable of receiving and following instructions and communication with coworkers/superiors
